Adding a new contact


To add a new contact you can do one of the following:


At the start the first visible field will be automatically focused. You can move the cursor from field to field by pressing <Tab>. The information in any field is optional. You can leave as many blank fields as you want (except for 'Name' (1) , which is the key field for each entry).


 

Birthday
To enter the contact's birthday you have to first check the box (2), then the day, month and year fields will become enabled. To enter the date you have tow options: you can enter a value in the 3 fields or you can click on the calendar icon (3) and a calendar will appear. You can then click on the desired date and the values will appear in the fields. By clicking in the calendar the year field won't be given a value because you can't select the year form the calendar. You have to manually enter the birth year.



If you don't know the contact's birth year you can simply leave the field empty. The program will still notify you when the contact's birthday occurs, but it won't be able to tell the contact's age.


Contact group
To assign the current contact to a contact group you have to select the desired group by scrolling the (4) field. If you want to assign the contact to a group that does not exist in your list you have to click on the 'Configure contact groups' link (5) and the Contact groups management window will appear (Warning! By doing this you will lose your current contact data as it won't be saved)


Alarm
In this field [6] you can choose how many days before the contact's birthday you want to be notified.


This field is enabled only if you have entered the contact's birthday.


Custom field
This field can be used to store information that do not fit in any of the other categories (example: fax, second e-mail, bank account, department). In order to use this field you first have to activate it in the options menu by checking the "Use custom field" option and giving it a name. The field has the same name for all the contacts. For example if you name the custom field "Second e-mail" then all the contacts in the database will have a field named "Second e-mail" [7].


This setting is built into the database. If you import a different database it's own settings will apply.





Notes
You can store a note to any profile. In order to add/edit the note you have to click on the "edit" button (9). That will launch the note editor. After you have finished writing save the note and the editor will close. In the field (8) you can see the size of the note (cannot exceed 48 kb). To delete a note simply erase all the text.

Attached files
You can attach one or more files to the contact information. These files can be photos, documents, e-mails or any other kind of files. To find out how to attach files click here. In the field (10) you can see the number of attached files.


You can only attach file after you have saved the contact. When you create a new contact the fields (10) and (11) are disabled.


Photo
Every contact can have a small photo (96x96 pixels). This is usually a picture representing the person's face (like an ID photo) and makes it easier to recognize a person in a large database. Smart Reminder has a built-in photo editor that can help you to easily transform a normal photo into a ID photo of just the right size.
